BUF Buffalo Airport Taxi® Terms and Conditions

These Terms and Conditions explain the rules for using our website, submitting a booking request, receiving customer communications, using SMS booking notifications, making payments, requesting transportation, and using BUF Buffalo Airport Taxi® services.

1. Overview

BUF Buffalo Airport Taxi® (“Company,” “we,” “us,” or “our”) provides private, pre-booked transportation services for travelers using Buffalo Niagara International Airport and related routes, including Niagara Falls, Canada, Toronto, Western New York, and other destinations accepted by our dispatch team.

These Terms apply to website visitors, quote requesters, booking customers, passengers, payers, and anyone using or requesting our services. If you book on behalf of another passenger, you are responsible for making sure all passengers understand and follow these Terms.

We may update these Terms at any time. Continued use of our website, booking tools, customer communication channels, or transportation services after changes are posted means you accept the updated Terms.

2. Independent Transportation Service Provider

BUF Buffalo Airport Taxi® is an independent private transportation service. We are not owned by, operated by, endorsed by, sponsored by, or officially affiliated with Buffalo Niagara International Airport, NFTA, airlines, hotels, border authorities, customs agencies, immigration offices, casinos, tourist attractions, or rideshare platforms unless expressly stated in writing.

Airport names, hotel names, city names, route names, airline names, and destination names may be used for descriptive and informational purposes only.

3. Booking Requests, Confirmation & Acceptance

A booking form submission, quote request, fare estimate, website message, or automated email does not guarantee service until the ride is reviewed and accepted by BUF Buffalo Airport Taxi®.

  • A ride is considered accepted only after we confirm it by email, SMS, phone, WhatsApp, or another written communication method.
  • We may refuse, cancel, correct, or modify a booking request because of inaccurate details, unavailable vehicles, unsafe conditions, payment issues, route limitations, weather, operational problems, or other valid business reasons.
  • Customers are responsible for reviewing confirmation details and notifying us immediately if any detail is incorrect.
  • Automated form messages may confirm that we received your request, but final ride acceptance may require dispatch review.

4. Customer and Passenger Responsibilities

Customers must provide accurate, complete, and timely information when requesting or confirming transportation.

  • Provide the correct name, mobile phone number, email address, pickup address, drop-off address, date, time, flight number, passenger count, luggage count, child seat request, pet information, and special instructions.
  • Be reachable before and during pickup by phone, SMS, WhatsApp, or email.
  • Follow pickup instructions, driver instructions, airport rules, traffic rules, and border authority instructions.
  • Carry all travel documents required for domestic or cross-border travel.
  • Book with enough time for check-in, security, customs, border processing, appointments, traffic, and weather delays.
  • Notify us immediately about flight delays, cancellations, pickup changes, wrong addresses, passenger changes, or other important updates.

5. Fares, Quotes, Payments & Processing Fees

Published rates, route prices, fare estimator results, verbal estimates, online estimates, and blog examples are provided for planning purposes and may require final confirmation.

  • Final prices may vary based on passenger count, luggage, vehicle type, child seats, pets, additional stops, tolls, parking, waiting time, border delays, special routing, late changes, or unusual trip conditions.
  • Payment may be made by cash, card, secure payment link, driver payment, invoice, or another approved method depending on the booking.
  • Online card payments or payment links may include processing fees where disclosed.
  • Customers are responsible for paying the confirmed fare, approved extras, waiting charges, return-trip charges, cancellation fees, no-show fees, damage fees, cleaning fees, and other applicable charges.
  • We reserve the right to correct website pricing errors, calculation errors, typing errors, or accidental quote mistakes.

6. Cancellations, Changes, No-Shows & Refunds

Cancellation and refund terms may vary by route, vehicle type, timing, payment method, and written booking confirmation.

  • Customers should cancel or change a booking as early as possible.
  • Late cancellations, same-day cancellations, unreachable passengers, incorrect pickup information, or failure to appear at the pickup location may result in partial or full fare charges.
  • No-shows may be charged when the driver is dispatched, arrives, waits, or cannot locate the passenger using the information provided.
  • Refunds, credits, or adjustments are reviewed case by case and are not guaranteed unless required by law or confirmed in writing by management.
  • Chargebacks, unpaid balances, collection costs, legal fees, administrative fees, and related costs may be pursued where allowed by law.

7. SMS Terms, Booking Notifications & Text Messages

BUF Buffalo Airport Taxi® may send SMS/text messages to customers who provide a mobile phone number and opt in through our online booking form or another approved customer communication method.

How SMS opt-in works

Customers opt in by entering their phone number on our booking form and actively checking an SMS consent checkbox before submitting the form. The checkbox is not intended to be pre-selected. The consent language explains that customers may receive SMS booking confirmations, pickup reminders, ride updates, and customer care messages from BUF Buffalo Airport Taxi®.

Types of messages you may receive

  • Booking confirmations after submitting or confirming a reservation.
  • Pickup reminders before the scheduled pickup time.
  • Ride updates, driver coordination messages, and dispatch/customer support updates.
  • Booking changes, cancellation notices, payment reminders, or customer care responses related to your reservation.

Message frequency, carrier fees, STOP & HELP

  • Message frequency varies based on your booking activity, pickup coordination, ride updates, and customer support needs.
  • Message and data rates may apply depending on your mobile carrier and plan.
  • Reply STOP to unsubscribe from SMS messages.
  • Reply HELP for assistance.

Consent is not required to purchase

Consent to receive SMS messages is not required as a condition of purchasing transportation services. Customers may still contact us by phone, email, WhatsApp, or through our booking form.

Mobile number privacy

We do not sell, rent, share, or disclose mobile phone numbers or SMS opt-in consent information to third parties or affiliates for marketing or promotional purposes. Mobile phone numbers and SMS consent information may be used only as needed to provide booking confirmations, pickup reminders, ride updates, customer care, operational support, service-related communications, legal compliance, carrier compliance, fraud prevention, or recordkeeping.

8. Pickup Instructions, Waiting Time & Service Coordination

Customers must follow the pickup instructions provided in their confirmation, text message, email, phone call, or driver communication.

  • Airport pickup locations, curb rules, waiting areas, and driver contact procedures may change based on airport rules and traffic control.
  • Customers must be reachable by phone or text after landing or near pickup time.
  • Waiting time may apply when passengers are delayed, unreachable, not ready, at the wrong location, delayed at customs/border, or delayed by circumstances beyond the normal included waiting period.
  • If we cannot contact the passenger after reasonable attempts, the ride may be treated as a no-show.

9. Cross-Border Travel, Documents & Government Decisions

BUF Buffalo Airport Taxi® provides transportation only. We do not provide legal, immigration, customs, visa, passport, border-admissibility, or travel-document advice.

  • Passengers are responsible for carrying valid passports, visas, IDs, permits, consent letters, and any other required documents.
  • Border officers and government authorities make all final decisions about entry, inspection, questioning, delay, denial, admissibility, and customs matters.
  • We do not guarantee that any passenger will be allowed to enter Canada or re-enter the United States.
  • We do not guarantee border processing time, inspection time, or inspection outcome.
  • If a passenger is refused entry, delayed, or required to return, additional waiting fees, return-trip charges, cancellation charges, or route-change charges may apply.

10. Travel Times, Delays & Missed Connections

We make reasonable efforts to provide timely transportation, but pickup times, arrival times, travel times, border times, and ETAs are not guaranteed.

  • Traffic, weather, construction, road closures, accidents, flight changes, airport congestion, police activity, border inspections, customs processing, mechanical issues, and government actions may affect service.
  • Customers are responsible for booking with enough extra time for flights, appointments, events, tours, hotels, trains, buses, meetings, and border processing.
  • We are not responsible for missed flights, missed appointments, missed hotel reservations, ticket changes, airline fees, hotel charges, lost business, or other consequential losses caused by delays.

11. Luggage, Child Seats, Pets & Special Requests

Customers must disclose luggage volume, child seat needs, pet travel, mobility needs, oversized items, and special requests before booking so we can review vehicle suitability.

  • Child seats must be requested in advance and are subject to availability and confirmation.
  • Customers remain responsible for confirming child restraint suitability and proper use.
  • Pets must be disclosed before booking and may require approval, fees, carriers, cleaning fees, or a suitable vehicle.
  • Oversized luggage, sports equipment, boxes, strollers, mobility devices, or unusual cargo may require a larger vehicle or may not fit.
  • Unless specifically confirmed in writing, we do not guarantee wheelchair-accessible vehicle service, medical transportation, or specialized accommodation beyond ordinary private taxi service.

12. Passenger Conduct, Safety & Service Refusal

We may refuse, cancel, interrupt, or terminate service when necessary for safety, legal compliance, driver protection, passenger protection, vehicle protection, or operational reasons.

  • Service may be refused or terminated for abusive language, threats, harassment, violence, intoxication, illegal substances, unsafe conduct, refusal to follow instructions, disorderly behavior, or suspected unlawful activity.
  • Passengers may not smoke, vape, damage the vehicle, bring prohibited items, overload the vehicle, create unsafe conditions, or interfere with the driver.
  • Cleaning fees, damage fees, waiting fees, return-trip fees, or other charges may apply if a passenger causes vehicle damage, excessive mess, unsafe conditions, or service disruption.
  • Customers are responsible for their own conduct and the conduct of all passengers in their party.

13. Privacy, Customer Data & Communications

We collect and use customer information to process bookings, coordinate rides, contact passengers, process payments, send confirmations, provide support, prevent fraud, maintain records, and comply with legal obligations.

By submitting a booking request, checking an SMS consent box, or contacting us, you authorize us to communicate with you by phone, voicemail, SMS/text, WhatsApp, email, booking notification, or another reasonable communication method related to your inquiry, booking, payment, or service issue.

16. Governing Law, Venue & Dispute Handling

To the fullest extent permitted by law, these Terms, website use, booking-related disputes, SMS-related disputes, payment disputes, and transportation-service disputes shall be governed by the laws of the State of New York, without regard to conflict-of-law principles.

Unless another venue is legally required, any dispute shall be handled in Erie County, New York, or another court or forum with proper jurisdiction. Customers agree to first contact the company in good faith to attempt to resolve any issue before escalating a dispute, chargeback, complaint, claim, or legal action.
